We are Findingaplace. We offer services to help people looking to rent accommodation in London (referred to in this policy as ‘tenants’).  We also assist estate agents, property owners, property managers and landlords in finding tenants for the properties they own, manage or let. For the purpose of this Privacy Policy these are referred to collectively as ‘users’. We are not estate agents or advisors.

 

Findingaplace is committed to protecting your privacy and takes its responsibilities regarding the security of personal information very seriously. This policy explains how and for what purposes we use the information collected about you via findingaplace.com or london.findingaplace.com (referred to below as 'site'). Please read this privacy policy carefully. By using this site and any services we offer via this site, you are agreeing to be bound by this policy in respect of the information collected about you.

PERSONAL INFORMATION COLLECTION AND USE

 

How we collect and use personal data differs based on the interaction with the individual whose personal data we are processing.  We have therefore set out our main use cases below:

 

Tenants

 

Tenants who are searching for a new rental can enter their details via an enquiry form on the site.  They provide personal data with the purpose to access our services. This includes their name and contact details, information regarding their employment status and income as well as information about the type of property they are looking to rent. Personal information should not be submitted if you do not wish for us to collect it.

 

This personal information is provided to our users who will search for rental accommodation on tenant’s behalf and/or match the tenants enquiry to their available stock as well as provide advice if requested. Findingaplace uses the tenant’s search area and details in conjunction with the users location and criteria to define if a user has access to a given tenants enquiry. Users access tenants’ personal data by logging into their account on the site. The user may transfer a tenant’s personal data into their own internal system or ‘CRM’.  

 

We collect and store communications between a tenant and a user which is undertaken using the messaging service within the site. 

 

We may also keep a record of any communication and correspondence between a tenant and us as well as information about how a tenant uses the site.

 

Users (Estate Agents, Property Owners/Managers and Landlords)

 

Personal information about a user is collected with the purpose to access our services.  It is collected through the registration process either undertaken by user on the site or through communication with our team. We may also from time to time gain personal information through connections made at events, social media platforms, internet as well as through referrals.

 

Personal information collected will include name and contact information, company information where appropriate as well as information outlining where and what type of properties are let or managed by the user and associated photographs and floor plans where applicable.

 

We collect and store communications between a user and a tenant which is undertaken using the messaging service within the site.

 

We may also keep a record of any communication and correspondence between a user and us as well as information about how a user uses the site.

 

 

Payment Data

 

If a user or tenant subscribes to a service which has an associated cost, they will provide personal information and payment details in order to set up an automated, regular or one-off payment. This data includes their personal contact information as well as information about their chosen payment method and account used.  This information is processed by Findingaplace in conjunction with third party payment gateways.

 

This information will only be used to charge for the use of services they have subscribed to.

 

Employees and job candidates

 

Personal data is collected as part of interview and onboarding of an individual into the Findingaplace team. The personal data collected includes name and contact information including telephone, email and address as well as employment history.  If the individual joins the team, we will also ask for proof of identity and address.  If necessary and when required, Findingaplace may also require health information.

 

Third parties

 

Findingaplace engages third parties to deliver some services. Findingaplace uses many businesses in various geographies and collects the personal data of tenants and users to connected to the third-party businesses concerned. Personal data shared with third parties may include: name, email address, phone number, address, occupation as well as details of any property(s) and associated photographs and floorplans if applicable.

 

SECURITY AND STORAGE

 

No data transmission over the Internet can be entirely secure, so we do not guarantee or warrant the security of your personal information and/or use of the site. However, we use reasonable endeavours to protect the security of your personal information from unauthorised access or use by using encryption technology and password protection. In addition to these safeguards, your personal information is protected in the UK by the Data Protection Act 1998. This provides that the information which we hold about you should be processed fairly and lawfully, should be accurate, relevant and not excessive, not be retained for longer than is necessary and, if applicable, be kept up to date.
